How long should you hang on to your business records?

 


2008 is winding to a close, and you're beginning to prepare for tax season and plan ahead for 2009.  Like many busy business owners, you may have accumulated a mile-high stack of paperwork over the year and quite possibly haven't seen the surface of your desk since March.

Though the idea of striking a match and turning it all into a holiday bonfire may be tempting, the reality is that you should periodically take some time to sort through your paperwork and determine what you can get rid of and what you need to hold on to. Every business is different, but general rule of thumb is to follow the guidelines below in deciding how long to retain your business records:

1 Year Purchase orders
 
2 Years General correspondence
 
3 Years Audit reports (internal), receiving sheets, sales commission reports, expired insurance policies, disability and sick benefits, employment applications
 
6 Years Accident reports, fire inspection reports
 
7 Years Accounts payable/receivable ledgers and schedules, bank statements, expense reports, inventories, invoices, notes receivable ledgers and schedules, payroll records, purchase orders, sales records, subsidiary ledgers, time books/cards, trial balances, vouchers for payments to vendors and employees, withholding tax statements, option records, cancelled stock/bond certificates, expired contracts, garnishments, personnel files (terminated)
 
8 Years Group disability records, safety reports
 
10 Years Settled insurance claims
 
Permanent Audit reports (external), cash receipts and disbursements journals, charts of accounts, cancelled checks (important matters), depreciation schedules, retirement and pension records, tax returns and worksheets, training manuals, union agreements, legal matters, articles of  incorporation, bylaws, minutes, capital stock and bond records, deeds/mortgages/bills of sale, property records, insurance records, copyright/patent/trademark registrations
